Student Privacy Notice
This Student Privacy Notice describes how UPrep collects and uses information about our students. For additional information about data collection and usage for users of our website, please visit https://www.universityprep.org/privacy-policy.
Information We Collect from Students or Parents/Guardians
We collect information about our students directly from our students and from parents and legal guardians (collectively, “Parents” or “Parent”).
Parents provide information about students during the enrollment process, such as age/grade, academic history, health history, and behavioral support needs. During the enrollment process, Parents also provide information about themselves, such as contact information and payment information.
After a student is enrolled with UPrep, we collect information from students to facilitate our curriculum. We may collect information in the classroom, through Internet and network access, devices, and third-party websites and online services. UPrep also provides students with an email address.
If a Parent or student does not provide certain information to us, a student may not be able to fully participate in our program.
This Student Privacy Notice does not cover data UPrep, or our authorized third-party vendors or partners, collect that cannot be used to identify an individual or to pseudonymous data.
Information Provided from Other Sources
As part of our interactive academic environment, students may collaborate with other students and share information about their classmates.
UPrep may also automatically receive information from third-party websites/services that are used in UPrep’s curriculum. This information may include educational content that students view and submit.
When UPrep provides Internet and network access and devices, we may receive reports from third party providers in order to maintain the security of our network. As part of UPrep’s Chromebook and Laptop Program, a wifi certificate must be installed on every device in order to allow network access. The agent reports username, MAC Address, device name, and IP address.
How We Use Students’ Information
We collect only as much information about students as is reasonably necessary to educate students through our curriculum. We use students’ personal information strictly for educational purposes. We do not share, sell, rent, or transfer students’ personal information other than as described in this Notice.
Disclosure of Students’ Information
UPrep may disclose a student’s personal information:
- If we are required to do so by law or legal process, such as to comply with any court order or subpoena or to respond to any government or regulatory request.
- If we believe disclosure is necessary or appropriate to protect the rights,
property, or safety of UPrep, our students, our faculty, or others, including
to:
- Protect the safety of a student;
- Protect the safety and security of our campus; or
- Enable us to take precautions against liability.
- To law enforcement agencies or for an investigation related to public safety.
- As necessary, to authorized third-party vendors and partners, such as technical and operational support or legal counsel.

Educational third-party websites/services have their own privacy notices. Those notices will govern the use, handling, and disclosure of student information with those third parties. Listed below are the third-party websites/services that are currently in use that require student information in order to have functional access:
- Voicethread hosts multimedia discussion forums where users can share images, audio, text, and written notes. Privacy Policy and Terms of Use

- Canva: A graphic design platform that allows users to create visual content such as presentations, posters, social media graphics, and more. Users can choose from pre-designed templates or create their own using a variety of elements like images, icons, and text. Privacy Policy - Terms of Service

- Padlet: A digital bulletin board tool that allows users to create collaborative boards filled with text, images, videos, and links. Users can share their boards with others for online collaboration or presentation. Privacy Policy - Terms of Service
- EdPuzzle: A video engagement platform that allows educators to insert quizzes, questions, and notes into existing videos. Students can watch the videos and interact with the embedded content, providing teachers with insights into their understanding. Privacy Policy - Terms of Service
- GimKit: A gamified learning platform that turns lesson content into interactive games and activities. Students answer questions, compete with classmates, and earn points in a game-like environment. Privacy Policy - Terms of Service
- Goosechase: A scavenger hunt and team-building app that allows users to create and participate in custom scavenger hunts using their smartphones. Players complete tasks, earn points, and collaborate to achieve goals. Privacy Policy - Terms of Service
- Brainpop: An educational website and app that provides animated videos, quizzes, and activities on a variety of science, math, social studies, and humanities topics. Privacy Policy - Terms of Service
- Loom: A screen recording and video communication platform that allows users to record their screens with audio and webcam, and share the recordings with others. Privacy Policy

- MathType is a mathematical notation editor that allows users to create mathematical notations and equations for documents, presentations, and websites. It supports a wide range of mathematical symbols and formats. Privacy Policy – Terms of Service
Retention, Confidentiality, and Security of Students’ Information
We maintain students’ information as long as is reasonably necessary for the purposes for which the information was collected. We will retain certain educational records for the duration of a student’s enrollment at UPrep and may obtain some records after enrollment if required or permitted under applicable law. We may also maintain information provided by Parents as is necessary for business records.
We make Internet and network access available to students to promote educational excellence by facilitating innovation, communication, and resource sharing. UPrep owns the computer network system and students may use it by permission and with no expectation of privacy in files, disks, documents, etc., which have been created in, entered in, stored in, downloaded from, or used on the system. UPrep cannot remotely manage, observe, or interact with a device. Other than the iPad and Laptop Program Initiative and the Middle School Mobile Device Management system, UPrep does not use software to report back what is on a student’s device. Students may be monitored and have their files inspected by an authorized systems administrator if they are believed to be in violation of policies set forth in this Notice, general policies of UPrep, or applicable local, state, or federal law.
UPrep maintains reasonable physical, electronic, and procedural safeguards to guard students’ information. However, the Internet and any connected network or device is not absolutely secure and, thus, we cannot promise guaranteed security. In the unlikely event that we believe that the security of students’ personal information in our possession or control may have been compromised, we may seek to notify Parents. As applicable, we will comply with notification requirements for a security breach.
Children Under 13
Some of our students are under the age of 13. Under federal law, we are required to obtain verifiable parental consent before collecting, using, or disclosing any personal information from a child under the age of 13. A parental consent form was included in your enrollment policies. If you would like to obtain another copy of the parental consent form, please contact us.
Parents may contact the Registrar at registrar@universityprep.org or 206-525-2714 to review or delete their child’s personal information, and can request that we do not further collect or use their child’s personal information. If we learn we have collected personal information from a student under the age of 13 without parental consent, we will delete that information as quickly as possible.
Viewing and Amending Students’ Information
Parents may view, amend, or delete certain information about their student. You can review, change, or delete your child’s personal information by:
• Log into the Parent Portal and go to Update Household Information • Sending us an email at registrar@universityprep.org. To protect your privacy and security, we may require you to take certain steps or provide additional information to verify your identity before we provide any information or make corrections.
We may need to retain and continue to use or disclose certain information in accordance with this Notice. If UPrep, a Parent, or a student already provided a student’s personal information to a third party, you may need to change your preferences directly with that third party.

Changes and Updates to the Student Privacy Notice
This Student Privacy Notice applies to all relevant information collected by or provided to us or our authorized third-party vendors or partners as of the Effective Date. When we make any material changes to this Student Privacy Notice, we will update the Effective Date and inform Parents by email.
